We are committed to safeguarding your privacy and providing a transparent, safe, and professional experience across our events, platforms, and services. This document outlines our Terms & Conditions, Privacy Policy, Event Policies, and how your information is collected, used, and protected.
1. Introduction
These Terms, Conditions, Privacy & Event Policies govern your use of Unbound Summits Ltd services, including but not limited to our events, websites, networking platforms, directories, insights libraries, applications, digital products, and associated services.
By registering for an event, using our website, accessing our platforms, submitting information, or engaging with our services, you agree to be bound by these policies.
If you do not agree with any part of these policies, you should discontinue use of our services.

2. Privacy Policy
2.1 Information We Collect
We may collect personal information including but not limited to:
- Name
- Email address
- Telephone number
- Job title
- Organisation
- Sector, Market Role and Carbon focus
- Geographic location
- LinkedIn profile
- Event preferences
- Networking preferences
- Registration information
- Website usage information
You are not required to provide personal information, however certain services may not be available without it.
2.2 Information You Provide
You may provide information through:
- Event registrations
- Website forms
- Networking platforms
- Directory submissions
- Insights Library subscriptions
- Email correspondence
- Telephone conversations
- Surveys and questionnaires
2.3 Information Obtained From Third Parties
We may receive information from:
- Event partners
- Sponsors
- Industry associations
- Publicly available business sources
- Research providers
- Referral partners
Where appropriate, such information is collected and processed under applicable lawful bases and data protection regulations.

2.7 Event Networking Platforms
Where networking functionality is provided:
- Your name, organisation and job title may be visible to other attendees.
- Contact details remain under your control where platform functionality allows.
- You are responsible for information voluntarily disclosed to other attendees.
2.8 Directories
Where you choose to participate in a directory, only information you consent to share will be visible to other users.
2.9 Data Retention
Unless otherwise required by law:
- Personal data is retained for up to three years following your last meaningful interaction.
- Event participation data may be retained for up to ten years.
- Payment information is not stored by Unbound Summits.
2.10 International Data Transfers
Your information may be stored or processed within the United Kingdom, European Economic Area, United States, or other jurisdictions used by our service providers.
Where required, appropriate safeguards will be implemented.
2.11 Security
We implement appropriate technical and organisational security measures designed to protect personal information against loss, misuse, unauthorised access, disclosure, alteration, or destruction.
2.12 Cookies & Tracking Technologies
Our websites may use:

2.13 Photography, Audio & Video Recording
By attending an Unbound event you acknowledge that photographs, video recordings, audio recordings and livestream content may be captured.
Such content may be used for:
- Event promotion
- Marketing activities
- Documentation
- Reporting
- Future event promotion
Attendees wishing not to appear in event media should notify Unbound in advance.
2.14 Data Breach Notification
Where required by law, Unbound will notify relevant authorities and affected individuals following any personal data breach.
2.15 Your Rights
You may exercise rights relating to:
- Access
- Rectification
- Erasure
- Restriction
- Portability
- Objection

3. Event Terms & Conditions
3.1 Registration
All registration information must be accurate and complete.
Unbound reserves the right to refuse, suspend, or cancel registrations where information is inaccurate, misleading, fraudulent, or incomplete.
3.2 Payment
Payment must be received in accordance with the terms specified at the point of purchase or invoice.
Failure to pay may result in suspension or cancellation of attendance rights.
3.3 Event Changes
Unbound reserves the right to amend:
- Speakers
- Agendas
- Schedules
- Venues
- Session formats
- Event platforms
- Event dates
where reasonably necessary.
Such changes shall not automatically entitle attendees to refunds.
3.4 Force Majeure
Unbound shall not be liable for failure or delay in performance arising from circumstances beyond its reasonable control, including but not limited to:
- Natural disasters
- Extreme weather
- Government action
- Public health emergencies
- Strikes
- Utility failures
- Civil unrest
- Acts of terrorism
3.5 Limitation of Liability
To the fullest extent permitted by law, Unbound shall not be liable for:
- Travel costs
- Accommodation costs
- Loss of profits
- Loss of business opportunities
- Indirect or consequential losses
Nothing in these terms limits liability where such limitation would be unlawful.
4. Delegate Refund Policy
4.1 Delegate Pass Cancellations
Cancellations made more than 30 days prior to the event start date are eligible for a refund, subject to a 15% cancellation fee.
Cancellations made within or on 30 days of the event start date are not eligible for a refund.
4.2 Alternative Options
At any time, including within 30 days of the event, delegates may:
- Transfer their ticket to a colleague at no additional cost; or
- Convert the ticket into a full-value credit valid for 12 months from the original event date.
4.3 Series Passes
For any series or multi-event pass, the refund policy applicable to the first event in the series shall apply to the entire purchase.
5. Speaker Policies
5.1 Delegate Uplift To Speaker
Where a paid delegate is subsequently invited to participate as a speaker, the delegate pass shall be reclassified as a speaker pass.
The original delegate purchase is not eligible for refund as a result of the speaker uplift.
Should the individual subsequently be unable to attend in any capacity, the standard refund policy shall apply.
5.2 Speaker Complimentary Colleague Pass
A speaker may nominate one colleague to receive a complimentary pass.
Conditions:
- Submitted no later than 21 days before the event.
- Valid only for the current event.
- Not transferable.
- Not refundable.
- Not convertible into credit.
Unbound reserves the right to decline late nominations.
5.3 Existing Delegate Upgraded To Speaker
Where another colleague is already attending from the same organisation, the organisation may elect to receive:
- One additional discounted delegate pass; or
- A future event credit equal to the original amount paid.
Credits:
- Must be used within 12 months.
- Are non-refundable.
- Cannot be exchanged for cash.
5.4 Speaker Guest Attendance
Unbound may permit a support-based guest to attend only during the relevant speaker session.
Eligible roles include:
- Executive Assistant
- Marketing
- Communications
- PR
- Media Support
Commercial roles including sales, partnerships, business development and revenue-generating functions are not eligible.
Approved guests:
- Will not receive a delegate badge.
- Will not receive networking access.
- Will not receive catering.
- Must leave following the relevant session.
Unbound reserves the right to revoke access at any time.
6. Start-Up Ticket Eligibility & Verification
The Start-Up Ticket is intended exclusively for early-stage organisations that meet the published eligibility criteria.
By submitting an application, applicants confirm that all information provided is accurate, complete and reflective of the organisation's status at the time of submission.
Unbound reserves the right to verify any information provided.
Where information is inaccurate, misleading, incomplete, or intentionally structured to circumvent eligibility requirements, Unbound may determine that the organisation does not qualify for the Start-Up rate.
In such circumstances Unbound reserves the right to:
- Require payment of the difference between the Start-Up rate and the applicable ticket price.
- Suspend or revoke event access pending payment.
- Cancel the registration where payment is declined.
Where the applicant chooses not to proceed, Unbound may, at its sole discretion, cancel the registration and refund the amount originally paid.
Unbound's determination regarding eligibility shall be final.
7. Event Conduct
All attendees must behave professionally and respectfully.
Unbound reserves the right to remove any attendee whose behaviour is:
- Harassing
- Abusive
- Discriminatory
- Threatening
- Disruptive
No refund shall be due where removal occurs under this provision.
8. Intellectual Property
All event materials, recordings, branding, content, websites, directories, reports, and associated intellectual property remain the property of Unbound Summits Ltd or their respective owners unless otherwise stated.
No content may be reproduced, distributed, or republished without prior written consent.
9. Confidentiality & Networking
Unless explicitly stated otherwise:
- Event participation does not create confidentiality obligations.
- Attendees are responsible for information they voluntarily disclose.
- Chatham House Rule applies only where expressly communicated.
